Front Office Coordinator

Location: Kailua, O'ahu, Hawaii

Sunetric is looking for a Front Office Coordinator to join our team!

Sunetric is one of the most experienced solar integrators in the state. The company began operations in 2004 and has since installed hundreds of photovoltaic systems for residential, commercial, non-profit, municipal, and government customers.
We are looking for a dynamic individual with excellent Customer Service and Communication skills. Ideal applicants are organized, proficient with basic computer programs such as Microsoft Word, Excel, and Power Point.

The primary duties are:
  • Check messages and relay promptly (either email or personally)

  • Answer calls promptly and screen effectively

  • Manage incoming calls/emails for sales leads, record and distribute accordingly

  • Retrieve mail daily

  • Manage all incoming and outgoing mail

  • Monitor and manage postage meter, supplies and postage

  • Assist HR with administrative duties/projects, errands when requested

  • Assist operations personnel when requested

  • Manage and distribute all incoming facsimiles

  • Monitor successful completion of outgoing facsimiles

  • Tracking and ordering of all office supplies including printer paper, ink cartridges, toner, staff requests, kitchen supplies, bathroom supplies

  • Manage scheduling and performance of office cleaning crew

  • Keep front office and supplies cupboards organized

  • Monitor Shred-It Bin and arrange for pick up when needed

  • Monitor and maintain coffee supplies (coffee beans, milk, half and half, sugar, Equal)

  • Enforce cleanliness and organization within front office areas

  • Monitor Parking to ensure compliance

  • Personally maintain cleanliness in kitchen area (counters, sink, load/unload dishwasher)

  • Manage trash and recycling

Essential Job Requirements:
  • Strong verbal and communication skills

  • Exceptional customer service skills and phone etiquette

  • Ability to multi-task

  • Ability to work in a fast paced environment

  • Willingness to learn

  • Detail oriented

  • Hard-working

  • Close attention to detail as well as a sense of urgency

  • Reliable transportation

  • Ability to work M-F 8-5 other hours for special projects

  • Must be a self-starter and have the ability to work independently

Education: High School Diploma or GED

Experience: 2 years office customer service or receptionist/office management experience

Required Skills: Proficient in all Microsoft Office programs and office equipment
